Terms of Service

These terms are a contract between you (the business that creates a BronzeOffice account, and each person who uses it) and Oz Systems Pty Ltd trading as BronzeOffice (we, us, our). By creating an account or using BronzeOffice you agree to them. Please read them — they are shorter than most.
1. The service
BronzeOffice is online software for running a trade business: leads, quotes, jobs, invoicing, customer portal, staff tools, messaging and AI assistants, as described on our pricing page. We may add, change or retire features over time; if we retire something material you rely on we will give you reasonable notice.
2. Your account
- You must be at least 18 and authorised to bind the business you sign up for.
- Keep your login details secure and tell us straight away if you suspect unauthorised access. You are responsible for activity under your account, including by staff you invite.
- Give us accurate business details (including your ABN) — they appear on the quotes and invoices BronzeOffice produces for you.
3. Free trial
New accounts get a 14-day free trial of the Crew plan. No payment details are needed to start. When the trial ends you can choose a plan and subscribe; if you do not, your account becomes read-only and, if still unpaid 90 days later, is deleted as described in our Privacy Policy. We may limit trials to one per business.
4. Plans, billing and renewals
- Subscriptions are billed monthly or annually in advance through Stripe, in Australian dollars, at the price shown when you subscribe. Extra users and add-ons are billed with your plan.
- Your subscription renews automatically at the end of each billing period until you cancel.
- If we change prices we will give at least 30 days' notice by email; the new price applies from your next renewal after that notice, and you may cancel before then.
- If a payment fails we will retry and notify you. If it remains unpaid after 14 days we may suspend the account until it is brought up to date.
- You are responsible for any GST or other taxes shown at checkout.
5. Cancellation and refunds
- You can cancel at any time from Billing in the app. Cancellation takes effect at the end of the current billing period; you keep access until then.
- We do not refund partial months or unused annual periods, except where the Australian Consumer Law or section 12 says otherwise, or where we choose to in fairness.
- After cancellation you have 90 days to export your data (section 7).
6. Your customers' payments, Stripe and Xero are yours
BronzeOffice lets you connect your own Stripe account to take payments from your customers and your own Xero organisation to sync invoices. Those connections are between you and Stripe or Xero under their terms. We are not a party to payments between you and your customers, we do not hold those funds, and we are not a payment facilitator, merchant of record or accountant. You are responsible for the accuracy of the invoices, quotes, GST amounts and BAS figures you issue, for refunds and chargebacks with your customers, and for your tax obligations. BronzeOffice reports and worksheets are tools to help you and your accountant; they are not financial or tax advice.
7. Your data
- You own your data. Everything you and your staff put into BronzeOffice — customers, quotes, invoices, files, messages — stays yours.
- You give us a limited licence to host, process, back up and display that data solely to provide the service to you, and to generate aggregated, de-identified statistics that cannot identify you or your customers.
- You are responsible for having the right to store and use your customers' and staff's personal information in BronzeOffice, and for complying with the Privacy Act and the Spam Act when you send email, SMS or WhatsApp messages through it.
- You can export your data at any time while your account is active and for 90 days after it closes.
- We handle personal information as set out in our Privacy Policy.
8. Acceptable use
You agree not to use BronzeOffice to:
- send spam or messages to people who have not agreed to hear from you, or that breach the Spam Act 2003;
- store or transmit anything unlawful, defamatory, infringing or malicious;
- attempt to access another business's data, probe or disrupt the service, or bypass usage limits;
- resell or white-label the service without our written agreement;
- use AI features to generate content that is deceptive, harassing or breaks the law.
We may suspend or close accounts that breach these terms, after notice where practical.
9. AI features
AI features produce drafts and suggestions from the information you provide. They can be wrong. You must review AI output before it is sent to a customer or relied on, and you are responsible for what you send. AI usage may be metered as credits included in or added to your plan.
10. Third-party services
Integrations (Stripe, Xero, Twilio, Meta, Google, email providers and others) are provided by those companies under their own terms. We are not responsible for their availability or conduct, and a change on their side may affect a feature.
11. Availability and support
We aim to keep BronzeOffice available at all times but do not guarantee uninterrupted service. We may take the service down for maintenance, with notice where we can. Support is provided by email at support@ozsystems.com.au during Australian business hours (Perth time).
12. Australian Consumer Law
Our services come with guarantees that cannot be excluded under the Australian Consumer Law. For major failures with the service you are entitled to cancel your contract with us and to a refund for the unused portion, or to compensation for its reduced value; you are also entitled to be compensated for any other reasonably foreseeable loss or damage. If the failure does not amount to a major failure you are entitled to have problems with the service rectified in a reasonable time and, if this is not done, to cancel your contract and obtain a refund for the unused portion. Nothing in these terms excludes, restricts or modifies those rights.
13. Limitation of liability
Subject to section 12, and to the extent permitted by law: BronzeOffice is provided "as is"; we are not liable for indirect or consequential loss, lost profits, lost data that you could have exported, or business interruption; and our total liability to you for all claims in any 12-month period is limited to the fees you paid us in that period. Where a guarantee cannot be excluded but liability can be limited, our liability is limited to re-supplying the service or paying the cost of having it re-supplied.
14. Intellectual property
We own BronzeOffice — the software, design, branding and documentation. You get a non-exclusive, non-transferable right to use it while you subscribe. Feedback you give us may be used to improve the product without obligation to you.
15. Changes to these terms
We may update these terms. For material changes we will give at least 30 days' notice by email or in the app. Continuing to use BronzeOffice after the change takes effect means you accept the new terms; if you do not, cancel before then.
16. Governing law
These terms are governed by the laws of Western Australia and the Commonwealth of Australia. Each party submits to the non-exclusive jurisdiction of the courts of Western Australia. If part of these terms is unenforceable, the rest still applies.
